BEHIND THE HIVE – Our System Implementation Journey

Hive is a cloud-based system currently being designed to streamline employment related tasks and processes into a single, easy-to-use platform. It will centralise activities like payroll and benefits, recruitment, onboarding, rostering, and even learning.

By integrating these functions, Hive will improve efficiency, enhance your employee experience, and provide better insights to support people-focused decisions. This page will keep you updated as our Hive project team and subject matter experts from across Costa work together to launch Hive in 2026.

The Hive committee helps guide the Hive implementation by providing overall oversight and decisions for high-level project matters.

About Hive

Hive is a new employment system that will allow Costa to simplify and improve the way you manage your employment-related information. 

Hive will replace multiple existing systems and manual processes, bringing everything together into one easy-to-use platform. 

With Hive you’ll be able to:

• Manage your information
• Apply for jobs at Costa
• Access and view your payslips
• Track your timesheets
• Plan and submit your leave requests
… And much more! 

We will start using Hive in 2026, and there’s plenty to do to make sure the transition is smooth for all staff. The Hive team will be collaborating across the business to get you the right information at the right times, but ‘keen beans’ can also keep an eye on this page for regular updates.

As Costa has continued to grow, so have the number of different processes and computer systems we use.

For some things we use paper forms and whiteboards, and many teams will also use two, three, four (or more) different computer systems to get their work done.

Bringing people and processes together in one system will make things simpler for all employees, meaning you can spend more time doing valuable work.  

Preceda is a payroll system. Hive is a ‘Human Capital Management System’ or HCMS. This means Hive will handle Costa’s payroll function as well as most other HR tasks and processes.

Hive will replace multiple current systems and paper-based processes. The business and the Hive Project Team are still working through the details, but broadly, most systems used for:

  • Payroll (e.g. Preceda),
  • Recruitment and onboarding (e.g. Phoenix),
  • Timesheets (e.g. Deputy, paper-based),
  • Scheduling (e.g. Excel, whiteboards),
  • Performance and development (e.g. iGrow templates),
  • Managing employee details (e.g. secure folders and physical forms),
  • Workplace learning (e.g. ELMO),
  • Applying for or managing time off requests (e.g. Preceda),
    … will be replaced by Hive.

The systems you currently use for these activities will depend on your role and what part of the business you’re part of, and there may be a few exceptions (systems which won’t be replaced by Hive) for specialised teams or functions. If you have a question or concern about any of these changes, please reach out to the Hive team!

Yes.   This is a big part of why we’re implementing Hive. Currently, different types of employees (monthly paid corporate roles, casual and seasonal roles, PALM roles etc.) are managed in different ways and in different systems.   Hive will bring all employee types into one system and allow all employees to access their own employment details in the same place.

No, payslips will be available by logging in to Hive.

In Hive, all your payslips will be in one place so you can find and manage them more easily.  

You will be able to email payslips to yourself from Hive.

Ensuring everyone’s pay is correct and delivered on time is critical. We will be doing extensive testing of the Hive Payroll function to make sure it’s ready before go-live.

This will include a number of ‘parallel’ pay runs- where we do our normal pay run, and a test Hive pay run at the same time (not linked to actual pays), to make sure the new system is accurate and working well before we use it for real.

Leave balances and other entitlements will be brought across into the new system.  

Training activities and support materials (user guides, eLearning, workshops etc.) will be available to all staff, but will look a little different depending on your role and what part of the business you work in.

We know how busy everyone is, so the aim will be to give every person exactly the training they need… and nothing they don’t.

 We will also be recruiting ‘Buzz Builders’ (volunteer Hive super-users and advocates) across the business to make sure there are people who understand your role and can help you with any issues.

Hive will ‘go-live’ for employees in 2026, with rollout being staggered, so that not all business areas gain access at the same time. Stay tuned for details on when your go-live will be as we continue on this journey together.

Hive is built using a platform called Dayforce.  

Dayforce is used by hundreds of large companies across Australia and the world and has a range of safeguards in place to protect employee data.  

This includes compliance with ISO, NIST and other security standards, as well as detective and preventive safeguards to ensure that customer data, applications, and infrastructure remain safe.  

Dayforce contracts cybersecurity experts to ensure these standards are met and data is held safely. 

While Dayforce hosts our Hive platform, Costa retains ownership and responsibility of your employment data and will continue to take every step to protect it. 

We’ll be updating this website with big news and important updates and will be using existing meetings and communication channels to keep the business in the loop. 

We’re also in constant communication with senior leaders, HR teams and relevant managers throughout the business. 

They will help make sure important updates reach their teams at the right times.

Absolutely. We know change can be tricky, and Hive might take a bit of getting used to, but it’s going to be a game changer for how we make smart, data-based decisions as a business, and keep track of what we’re doing well and how we can improve.  

It will also remove annoying, time-consuming tasks, reduce mistakes in record keeping and reporting, and help different parts of the business learn from and support one another’s work.  

Of course, we will be making improvements over time to ensure Hive keeps getting better and better. 

We anticipate huge impacts on our productivity and ability to navigate whatever challenges and opportunities come our way in coming years and decades.  

You’ll be able to access Hive using either a mobile app or a computer.
